Open Home Management
ListHouze provides a comprehensive open home management system that lets agents schedule inspections, generate QR codes for on-site check-in, track registrations, and manage attendee data.
Accessing Open Homes
There are two ways to manage open homes:
- Per-property: From the listings dashboard, click the Open Homes button on a specific listing card. This takes you to the open homes page for that property.
- Central management: Navigate to Open Homes in the agent portal sidebar to view and manage all open homes across all your properties.
Creating an Open Home Session
From the Property Open Homes Page
- Navigate to a property's open homes page.
- Click Add Open Home to show the scheduling form.
- Enter the required details:
| Field | Required | Description |
|---|---|---|
| Date | Yes | The date of the open home |
| Start Time | Yes | The start time |
| End Time | No | Defaults to 30 minutes after start if not specified. |
- Click Save to create the appointment.
From the Central Management Page
- Navigate to the central Open Homes Management page.
- Select a property from your listings.
- Enter the date, start time, and end time.
- Click Add to create the session.
The central management page provides additional controls including setting maximum attendees per session, editing existing session times, and viewing sessions grouped by property.
QR Code Check-In System
Each open home session can generate a unique QR code for on-site visitor check-in.
How It Works
- When an open home is created, a QR code record is stored with a unique public code.
- The QR code encodes a URL in the format:
https://listhouze.com/oh/{public_code} - Visitors scan the QR code with their phone and are taken to a check-in form.
- The check-in form collects their name, email, phone (optional), and visitor type.
QR Code Actions
| Action | Description |
|---|---|
| Print Sign | Opens a print-ready page with the QR code, property address, and session details. |
| Download QR | Downloads the QR code as a 512×512 PNG image. |
| Save as PDF | Generates an A4 PDF with QR code, property details, and privacy consent notice. |
| Design Professional Sign | Opens the sign designer for creating branded open home signs. |
| Share Check-In Link | Uses the Web Share API on supported devices, or copies the link to clipboard. |
Professional Sign Designer
The sign designer lets you create professional-looking open home signs that include the QR code, property address, agent details, agent photo, agency branding, and customisable templates and colour schemes. Signs can be downloaded or printed directly.
Public Check-In Page
When a visitor scans the QR code or follows the check-in link, they see a check-in form.
Check-In Form Fields
| Field | Required | Description |
|---|---|---|
| Name | Yes | Visitor's full name |
| Yes | Contact email address | |
| Phone | No | Contact phone number |
| Visitor Type | No | Options: Buyer, Tenant, Investor, Other. Defaults to Buyer. |
| Privacy Consent | Yes | Must be checked to proceed. |
| Marketing Consent | No | Optional opt-in for marketing communications. |
Managing Registrations
Viewing Registrations
On the property open homes page, each session can be expanded to show its registrations. For each registered visitor, you can see name, email, phone (if provided), registration date and time, and attendance status.
Attendance Tracking
The attended field on each registration tracks whether the visitor actually attended. This can be updated by the agent during or after the open home.
Open Home Statuses
| Status | Description |
|---|---|
scheduled | Upcoming open home, visible to buyers |
cancelled | Cancelled by the agent. No longer visible to buyers. |
completed | Past open home (automatically based on end time) |
Cancelling an Open Home
- Click the Cancel button on a scheduled session.
- The session status is updated to
cancelled. - The QR code and check-in link will no longer accept new registrations.
Timezone Handling
Open home times are stored in UTC and displayed in the appropriate local timezone based on the property's location:
- Australian states use their respective AEST/AEDT, ACST/ACDT, or AWST timezones
- New Zealand uses NZST/NZDT
AI Open Home Reports
From the central Open Homes Management page, you can generate AI-powered reports for open home sessions using the Open Home Report button. These reports analyse registration data and attendance patterns to provide insights about buyer interest.
